Sending a copy of the letters dated 19/06/2018 and dated 15/6/2009 of the Election Commission of India, New Delhi on the above subject, stating that, following the instructions given by the above letter from the Election Commission, New Delhi, The following information will have to be prepared in the database.

In addition to the officers / employees of the State Government and the Central Government for the conduct of elections, there will also be a need for the staff of the institutions covered under Section-19 (2) of the Representation of the People Act-191. Therefore, necessary orders are being issued from here to provide the information of the staff of the office to the authority of the following offices of the organization / offices included under section 13 (2) of the Representation of the People Act and to make available the service of the staff as per the demand of the District Election Officer. A copy of which will also be sent to the concerned District Election Officer.

Orders will be made. Copies of the orders should be obtained from the office of the concerned District Election Officer in person and executed by the concerned institutions. ... After receiving the above order from the District Election Officer, the office / institution will have to inform the staff of that office and prepare the data base accordingly.
Proposals regarding the organization / offices also need to be sent from here in Statement-A by 20/04/207. . Copies of the orders should be obtained from the office of the concerned District Election Officer in person and executed by the concerned institutions. Upon receipt of the above order from the District Electoral Officer, the office / institution will have to be informed to provide the staff of that office and prepare the database accordingly. . Software for preparation and randomization of staff database will be provided by this department as per the instructions given by Election Commission, New Delhi. 6. In addition to the drivers, conductors and cleaners of the buses of the corporation, the public ... is to prepare the database of the entire district by obtaining the information of all the officers / employees from the organizations mentioned in section 13 (2) of the Representation Act-191. The information has to be obtained in the accompanying specimen form and the data entry in the information software has to be done accurately. Care should be taken to ensure that there is no error in the data entry and also in the bank account details of the employee / officer (including IFSC code). 10. When requesting information from that office, it is mandatory to provide information to all the employees of their office and if any information is not provided to any employee / officer, then it should be the responsibility of the head of that office. 11. As per the instruction of the letter dated 17/6/2008 of Election Commission, New Delhi, the employee to be appointed on duty should be a voter and that voter should have photo identity card.
For this, the details of the name entry in the voter's roll have been sought in the information which is sought from the organization in the prescribed form. This information can be found on the website of the Chief Electoral Officer ceo.gujarat.gov.in if the employee does not have it. Such information should be given to the organization in the letter seeking information. However, if the organization does not provide this information, the Returning Officer may obtain this information from the above website. If the name of an employee is not registered in the voter list then the concerned officer / employee has to get the application in Form-3. / Take action to improve. Also, if an officer / employee does not have a voter ID card, he / she should be given a voter photo ID card as per the rules. However, even if an officer / employee does not show interest in enrolling in the voter list or getting a voter identity card, they can be appointed in the polling station.

Please note that non-registration of voter list or non-receipt of voter ID card is not an excuse to avoid election duty. This matter should be brought to the notice of the organization. 13.
